Annual Meeting Exhibitor Guidelines

Press Central

The following guidelines apply to marketing and public relations personnel representing exhibitors at the 2017 AUA Annual Meeting.

Embargo Policy

All exhibitors are required to abide by the AUA's embargo policies for the Annual Meeting. Coverage of research being presented (which includes abstracts published online at www.AUA2017.org and/or in the 2017 Annual Meeting Abstract book, a supplement to the April issue of The Journal of Urology®) is prohibited before the date and time of presentation. Companies with questions about this policy should contact AUA Communications at 410-689-3932 or communications@AUAnet.org.

Third Party Press Release Guidelines

  • Clearly state embargo date and time, as well as, abstract number and presentation information (date, time, presenter) in release header.
  • "AUA" or "American Urological Association" in the dateline or lede is not permitted. A secondary mention of the AUA is acceptable, but subject to review prior to dissemination. The AUA reserves the right to remove literature deemed unacceptable.
  • Clearly indicate the name of industry sponsors and financial supporters.
  • Use of the AUA logo or Annual Meeting logo is not permitted.

Only third-party press materials relating to research being presented at the current Annual Meeting will be permitted in the AUA Press Suite. Institutional, corporate or promotional materials not relating to research will be refused. All materials will be reviewed before being disseminated and displayed as non-AUA literature.

Contact AUA Communications at 410-689-3932 communications@AUAnet.org for more information.

Filming & Photography

Filming and photography is prohibited on the floor of the Science and Technology Hall (Exhibit Hall) without express permission from the AUA. An escort from AUA Communications must accompany all photographers at all times on the show floor. Extensive photography sessions, including interviews and product demonstrations, need to be scheduled in advance of the meeting. For more information, contact AUA Communications at 410-689-3932 or communications@AUAnet.org.

Registration

All exhibitors are required to register through the AUA Registration Department. No press passes will be distributed to exhibitors or public relations personnel.

Non-AUA Media Events

Media events not sponsored by the AUA are not permitted at the Boston Convention and Exhibition Center or AUA headquarters hotels. Third parties planning media events must contact the AUA Communications Department to coordinate dates and times to ensure they do not overlap or conflict with AUA-sponsored activities.

Solicitation of Media

Solicitation of registered press inside or outside the Press Suite or near the Science and Technology Hall (Exhibit Hall) is strictly prohibited.
